Using The Idea's Data Files Index Window

The Idea's Data Files Index Window is used to manage a list of all the Data File Link records that belong to a specific Idea record.

The window's primary function is to make it fast and easy to locate a specific Data File record, select it, and then perform database operations on it.

Displaying The Window

Before you can display the Idea's Data Files Index Window you need to be in a window that's working with an Idea record, such as the Ideas Window, or the Ideas Index Window. The reason for this, is because it's that Idea record's Data File Link records that you want displayed by the Idea's Data Files Index Window.

Click the Display Tasks hyperlink.

When that hyperlink is clicked the selected Idea record's Data File Link records will be displayed in an Idea's Data Files Index Window.

Searching The Index Window's Records

At the bottom of the Idea's Data File Links window's list of records is a Search panel that's used to locate sets of Data File Link records.

To find matching records in this window all you need to do is enter search words into the panel and then click the Search hyperlink.

After the Search hyperlink is clicked the window will display all the records that contained the search words somewhere in the record's fields.

Each record will highlight in light purple, the location where the search words were found.

Loading And Displaying The Linked Computer File's Contents

To load and display the linked file's contents just double click anywhere on the file's record entry in the list.

The file's contents are going to be loaded and displayed by the software that your computer uses to work with that kind of computer file.

Or, you can open any linked file (image file or not) by double clicking on the Image Preview Panel, or by clicking on the Open|Run|Play- Selected Data File hyperlink.

Editing The Selected Data File Link Record

There will be times when you want to edit the contents, especially the description, of a Data File Link record and doing this is simple.

First, single click on the record entry whose Data File Link record you want to edit.

Then click on the Edit Selected Data File Record hyperlink on the left hand side of the window.

Select the record entry whose record's fields you want to edit.

The Data File Link Window will open and the record will be displayed inside of it. Make any changes you want to the record's fields.

When you're done, and if you want to, you can click on the Return To Window That Opened This One hyperlink to go back to the window you just came from.

Displaying Data File Records That Are Related To The Selected Record

Data File Link records can have multiple parent records, and those parent records can be linked to unlimited numbers of computer files. There will be times when you want to see all of the Data File Link records that belong to one of the selected record's parents and to do this all you have to do is click the appropriate hyperlink in the Display Related Data File Links section of the "Index" Window (see image below).

For example, the selected Data File Link record in this image belongs directly to a Note record.

That Note record is directly linked to a Work Session record, that's directly linked to a Task record.

To see a list of all of that Task record's linked computer files, just click on the Task's Data Files Links hyperlink.

The window will now display those records.

To go back to the window's original set of records just click on the Reset hyperlink in the Search Panel.
